What is the Offer Letter Generator?

A job offer letter is the formal, written version of the offer you have made to a candidate: the role, who they will report to, where and when they start, what they will be paid and the main conditions of employment. A clear letter avoids misunderstandings later and gives the candidate something concrete to accept.

This generator writes the letter for you on your own letterhead, in plain, formal English. Fill in the details and a well-structured letter builds itself beside the form: a key-terms summary, the annual CTC in figures and words, an optional CTC breakup with monthly and annual columns, probation and notice wording, your own additional clauses and a candidate acceptance block. The letter is rendered in your browser and nothing you type is uploaded.

How to use it

  1. Add your company letterhead: name, logo, address and contact details.
  2. Enter the letter date, reference number and the candidate’s name and address.
  3. Fill in the position, department, reporting manager, employment type, location and joining date.
  4. Enter the annual CTC and, if you want a breakup, add each component’s annual amount — monthly figures are calculated.
  5. Set probation, notice and working hours, add any extra terms one per line, then press Download PDF.

Frequently asked questions

What should a job offer letter include?
The job title and department, the reporting manager, the type of employment, the work location, the joining date, the compensation (in India usually the annual CTC, often with a breakup), any probation period, the notice period, working hours, conditions such as background verification, the date by which the offer must be accepted and a signature from someone authorised to make the offer.
What is the difference between an offer letter and an appointment letter?
An offer letter sets out the proposed terms and invites the candidate to accept them. An appointment letter is usually issued on or after joining and is the fuller statement of the terms of employment, often with company policies attached. Many smaller companies combine the two; this tool is designed for the offer.
How is the CTC breakup calculated?
You enter the annual amount for each component and the monthly column is that amount divided by twelve, rounded to the paisa. The form tells you whether the components add up to the CTC you stated, so a mismatch is caught before the letter goes out.
Is an offer letter from this tool legally binding?
The tool produces the document; it does not give legal advice. Whether an offer and its acceptance create binding obligations depends on the terms you write and the law where you employ people. For contracts of employment, restrictive covenants or anything unusual, have the letter reviewed by a qualified professional.
