What is the Quotation Generator?

A quotation tells a prospective client exactly what you will supply and what it will cost, before any work starts. It lists each item or service with its quantity and price, adds tax and any discount, and states how long the prices hold. A clear quote wins work: the client can compare it, approve it internally and turn it into a purchase order without a round of questions.

Fill in the form and the quotation builds itself beside it, with line totals, tax by rate, discount, delivery charges and the total in figures and words. Add your terms — validity, advance payment, delivery timeline, warranty — then download a crisp PDF with selectable text. Everything happens in your browser: your prices and client details are never uploaded.

How to use it

  1. Add your business details and, if you like, your logo.
  2. Enter the client and a reference such as the project or enquiry.
  3. Set the quotation number, quote date and the date the quote is valid until (30 days ahead by default).
  4. Add a line for each product or service with quantity, rate and tax rate, and any discount or delivery charge.
  5. Write your terms — validity, advance, delivery and warranty — then press Download PDF and choose “Save as PDF”.

Frequently asked questions

What is the difference between a quotation and an invoice?
A quotation is an offer: it sets out what you propose to supply and at what price, and the client can accept or decline it. An invoice is a request for payment for something already agreed or delivered. That is why a quotation has a “valid until” date instead of a due date and never shows a balance due. Once the client accepts, use the Invoice Generator (or the GST Invoice Generator in India) to bill them.
Is a quotation the same as an estimate or a proforma invoice?
They are close. An estimate is usually an approximate figure that may change; a quotation is normally a firm price for the stated period. A proforma invoice looks like an invoice but is sent in advance, often so the buyer can arrange payment or import paperwork. You can use this tool for any of them by changing the document title.
What terms should a quotation include?
At least how long the prices are valid, the payment terms (for example, an advance with the order and the balance on delivery), the delivery or completion timeline, and what is not included. Warranty, taxes and who pays for transport are also worth stating. The example quote shows a typical set.
Where is my quotation stored?
Only in your browser. Nothing you type is sent to a server; a draft is kept in local storage so it survives a reload, and “Clear saved details” removes it.
